Data Policy – Integral View

This policy tells you:

• the way Integral View handles personal data and what we do to keep it secure.
• the sort of personal information we hold and why.
• the rights you have over any personal information we hold on you.

This policy applies to you if:

• You are a client of Integral View.
• You are a supplier to Integral View.
• You are working with Integral View to deliver a product or a service to another business, organisation or person.
• You have asked to be on the Integral Views mailing list to be kept updated of news and events.

We have outlined how we handle data in each of these cases below.

Privacy information if you are a client of Integral View:

How and why Integral View collects personal data.
Integral View collects personal data from you in order to:
• carry out the service you have asked us to provide.
• send you the invoice for work.
• keep records for ourselves, HMRC and other official bodies.

We might ask for:
• First name.
• Last name.
• Email address.
• Organisation name.
• Organisation address.
• Organisation phone number.
• Your mobile number.
• Responses to coaching questions and psychometric assessments.

For tax reasons, Integral View is legally required to hold certain information on you for seven years. After this time you can ask for your details to be deleted from the Integral View system. You can do this by emailing Integral View’s data controller, Jonathan Dover. You will find his email address below.

Data collected through coaching conversations and psychometric assessments is held by Integral View for a period of 2 years following the completion session. All of this data is also available to the client. This data is held by Integral View to:

• provide a back-up for the client.
• provide information to future coaching sessions for the client and Integral View.

After 2 years, this data will be deleted by Integral View. If the client also wishes the data to be deleted sooner (e.g. following completion), Integral View will delete as per email request.

• pay you for the work you do.
• keep records for ourselves, HMRC and other official bodies.

We might ask for:
• First name.
• Last name.
• Email address.

• Organisation address.

• send you the invoice for our work (if appropriate).
• keep records for ourselves, HMRC and other official bodies.

We might ask for:

• Your mobile number.

If Integral View is invoicing you (rather than our mutual client) for the work, for tax reasons, Integral View is legally required to hold certain information on you for seven years. After this time you can ask for your details to be deleted from Integral View’s system. You can do this by emailing Integral View’s data controller, Jonathan Dover. You will find his email address below.
If Integral View is invoicing the client directly, Integral View will keep information on you for two years. After this time, if no further contracts have happened, Integral View will delete the information we hold on you from its systems.

Integral View collects personal data from you in order to:

We ask for:

• Email address.
This is so Integral View can send emails to you and greet you by your first name in those emails.
When Integral View sends you these marketing emails, it is sending them because you have given Integral View your consent to do so. You can opt-out of receiving any of the emails at any time by using the link that is in every marketing email sent to you. You can ask to see any of the information we hold on you at any time by emailing Integral View’s data controller, Jonathan Dover. You will find her email address below.
Integral View respects the fact you have chosen to share your personal details and we will not take them – or your wish to receive information from Integral View – for granted.

Security.

Integral View takes the security of your personal data very seriously. We hold personal data in several places:
• Integral View uses a password protected Google Drive folder to store client assessments, coaching information and account details.
• Integral View uses password protected Mailchimp to store details of people who have asked to be kept updated of news and events.
Integral View has chosen these applications because they offer the tools needed to complete work. Integral View takes all reasonable precautions to keep the data it holds on you in these places safe, including having appropriately complicated passwords.

Your rights.

No matter what their relationship with us, the person who is in charge of handling and controlling the personal data held on people is Jonathan Dover, a sole trader trading as Integral View.
He is the person to contact if you believe the information held on you is incorrect. You can ask to see the information and have it corrected or deleted.
He is also the person to contact if have a complaint about the way Integral View has handled your personal data. You can ask to have the complaint investigated.
